What drives the cost

  • Real pen vs font. Real-pen robots and human scribes cost more than a printed handwriting font — and perform better.
  • Volume. Per-piece prices fall with volume; owning a machine flips cost from per-piece to fixed.
  • Postage. First-class ($0.73) lifts response but adds cost; check whether a quote includes it.
  • Insertion & format. Folding/stuffing is the hidden labor cost — postcards avoid it. See the production guide.

Frequently asked questions

How much does handwritten mail cost?

Outsourced per-piece prices run roughly $0.85 to $5+ depending on whether it is real-pen vs a printed font, the volume, and whether postage is included. Owning a machine ranges from about $419 (entry desktop) to $15,000 (production), after which your per-piece cost falls to materials and labor. First-class postage is $0.73 (2026).

Why is handwritten mail more expensive than printed mail?

A real pen writes one piece at a time and (when outsourced) carries a service margin, so per-piece cost is higher than bulk print. The trade-off is a much higher open and response rate on the right list — judge it on cost per qualified response, not cost per piece.

Is it cheaper to own a machine or outsource?

At low or irregular volume, outsourcing is cheaper (no fixed cost). As recurring volume grows, owning wins because per-piece cost drops to materials and labor. Find your crossover with the cost calculator.

Which providers publish pricing?

Several publish per-piece pricing (e.g. Ballpoint, Open Letter, Ghost Handwriter, Simply Noted, IgnitePOST, Scribeless); others are quote-only (e.g. Pioneer, RST, Inkpact, The Addressers). Quote-only entries are marked as such.
